Sending Secure Emails from Outlook

Email security is a critical consideration for our work. If the sender and recipient are both part of the CLA or CWJC systems, the email will be securely encrypted and you don’t need to do anything special.

When sending emails that contain sensitive or protected client data, such as a social security number etc., outside the organization please do the following:

When composing an email in Outlook or Outlook Web Access, type the word “SECURE:” without the quotes at the beginning of the subject line as shown here:

Note: This will require the recipient to login to a secure message portal in order to view the email. In many cases our email system detects certain patterns in the email (such as a social security number) and automatically applies the encryption. In some case, it may interpret emails with long strings of numbers (such as webinar codes) as containing sensitive information. If you think this may happen to an email you are sending which does not contain any sensitive information, you can bypass encryption by typing “SAFE:” without quotes at the beginning of the subject line.
