How to Use the Secondary Video-Conference System at CWJC

Unlike the system at CLA, our video conferencing is not done through a conferencing system.  These units are really very small computers with very large screens.  This means that you can use the system to video conference but you can also use it to stream an online training to an individual system without having to plug in a computer in.

To use

  1. Uncover the camera at the top of the screen.  There is a black, plastic cover that needs to be taken off so that the person you are conferencing with can see you. 
  2. Turn on the TV and the keyboard. The on/off switch for the keyboard is on the right hand side as shown here:                                            
  3. Using the mouse pad on the keyboard, click on the video conference app, Polycom.  If it is already open then you should either see the screen for making a call or the home-screen, with the Polycom icon at the bottom, which you can click on.
  4. Go to the phone book icon and scroll down to the VMR you are using.
  5. Click on the correct VMR# and click on the call button.
  6. When in the call, use the keyboard to the volume of the call.  Use the TV remote to adjust the master volume of the TV speakers if necessary.

 

Troubleshooting

Home screen not visible

  1. Make sure the power strip is on and everything is plugged in.  No one should unplug or turn off any part of the system, unless it is someone on the tech team doing some work on it.
  2. Make sure the TV is on.  The red light on the bottom, right-hand side of the screen is on if the screen is off.
  3. Make sure the computer is on.  It’s a little black box on top of the cart and should not be turned off by anyone.  However, if you have the TV on and the screen is blank or has a screen-saver that indicates there is no connection to anything, check the computer.  The blue light on the bottom right-hand corner of the top-face of the box should be on.  If it isn’t turn it on by pressing the power button on the back of the box.
  4. Make sure input is set to correct setting.  The Computer should be plugged into HDMI1.  The input setting on the TV (use TV remote) should be set to HDMI1.
  5. Make sure connection between the TV and the computer is solid.  No one should be disconnecting the HDMI cord between the computer and the TV but if all else fails, pull out and re-attach the HDMI cord and make sure the cord is all the way in on both ends.

Mouse doesn’t work

  1. Make sure the keyboard is on.  The keyboard has an on/off switch on the right-hand side.  It should be turned off after use to preserve the batteries.
  2. Replace the batteries in the keyboard. Shake and turn the batteries first to revive them.  If that doesn’t work and turning the keyboard off and on one or two times doesn’t work, then the batteries should be replaced.  Letty will keep batteries for the keyboard in each office, on top of the TV cart.  If you use the last one, please let her know so she can get more.

Can’t hear the people you’re talking to

  1. Use the TV remote to turn up the volume on the monitor.  Use the keyboard to turn up the volume of the call.
  2. Make sure the other party hasn’t muted her microphone.  The mute function can be turned on and off with the keyboard.
  3. Make sure your TV is set to the correct sound input.  Use the TV remote to check that the sound is coming from the TV speakers themselves.
